Can Accelevents run CFW registration?

What I tested in the Accelevents sandbox, from the WordPress Register button to badges and reports. Every finding is colored by status. Tap a finding for the details.

Work in progress: I'm still working through several items (listed under Still reviewing), but wanted to share where I am so far.

Main takeaways

The five things

  1. Payments can't be rehearsed

Accelevents only connects live Stripe/Square/Braintree accounts, so no test cards, declines, 3D Secure or Apple Pay were possible. We'd like to ask Accelevents for a test.

  2. Unpaid invoices hold seats

A Pay Later order gets its tickets and takes its seats right away, and nothing expires it. CFW wants no seat until paid. Can tickets be withheld, or the hold time-limited?

  3. Table of 10 pricing works with partner codes

A table can be its own ticket, which keeps the "buy a table" pitch. A regular discount code would come off a table once, not per seat, so each partner code instead unlocks its own hidden tickets, already priced at the partner rate. Example: PHILADELPHIA reveals "Early Bird Ticket – Philadelphia Rate" ($420) and "Early Bird Table of 10 – Philadelphia Rate" ($4,200), which the public never sees. My test order priced exactly. The catch: every code adds two tickets to set up.

  4. In progress Seating stays manual, and badge-only tickets count

We'll keep seating as a white-glove service done outside Accelevents, so no seating chart or auto-assign is needed. Buyers need a seating-request question on the form; sections, portals and lunch points fit in staff-only fields. Badge-only tickets still count toward capacity. I'm still working out the best way to handle this.

  5. The buyer portal is more open than our former platform

Login is fast (a magic link straight from the confirmation email), and Accelevents says the login email can go to the primary registrant only; confirming that attendees can't sign in on their own. What we still need and haven't found: a name and meal deadline, a summary of assigned seats, and a buyer spreadsheet upload.

Still reviewing

These are the items I'm still working through.

  1. Early Bird to Regular switch, seen from the buyer's side.
  2. Event-wide seat limit and waitlist, seen from the buyer's side.
  3. The automatic 10+ group discount applying on screen.
  4. A link that applies a code automatically.
  5. UTM tags reaching the buyer spreadsheet.
  6. The success page after Pay Later (the screen went blank).
  7. How many emails a buyer gets after one purchase.
  8. "Buy Tickets & Add-ons": same order, and the email it sends.
  9. Buyer portal: names, seats, meals, transfers and receipts (with Marlyse).
  10. Name and meal deadline (with Marlyse).
  11. Today's invoice process, and what we want for unpaid orders (with Marlyse).
  12. Whether we give registrants a standard attendee spreadsheet today (with Marlyse).
  13. Ticket lineup: Early Bird vs Standard and the rest (with Jess and Marlyse).
  14. Seating and badge-only tickets.
  15. Scheduled report emails: set one up and check its fields.
  16. Phone speed check on a live checkout page.

Tick a question once it's asked or answered; ticks stay in this browser only. Ask first marks the ones that affect the decision.

I'm still working through all of these and haven't sent them to Accelevents yet. I wanted to share where I am so far.
